Build the pack on paper first

List the documents, writing pad, pen and any other items that must accompany the folder. Decide which should be included in the supplied product and which your team will add later. Compare A4 and A5 requirements using the actual contents. Ask for internal dimensions and included accessories where the catalogue does not answer the question; do not rely on staged photography.

Write down the material requirement

For branded conference folders, record whether PU, simulated leather or a described bonded-leather item is acceptable. A request for genuine leather needs separate confirmation. This prevents a purchasing comparison from treating materially different items as the same specification. Colour and closure preferences should also be stated so a suitable alternative can be assessed if the first choice is unavailable.

Prepare one approved identity

Supply the correct logo file and specify the preferred cover position. Embossing, debossing, printing or another method cannot be assumed compatible with every folder. Ask for the proposed process and artwork area, then check the proof at the intended size. If multiple departments use different logos, provide a quantity breakdown for each version.

Allow time for pack assembly

State the date the folders must arrive for packing, not only the conference opening date. Include receiving details and any delivery split. Ask whether the quoted price includes branding, accessories, VAT where applicable and delivery. Keep the written product specification and artwork approval together so a later top-up order can be checked accurately.
